Student Residence Halls – information for students

Students can apply for a place in one of two student residence halls: Residence Hall No. 1 “Sabinki” and Residence Hall No. 3 “Grosik”.

International students admitted to the first year of BA and MA studies in English should apply for accommodation through the Admissions Office, not through the USOS system.

If a student wants to apply for a bed in the Residence Hall only for a single semester, after registering the application in the USOS system he or she should send an e-mail at bds@sgh.wa.wpl (using the SGH student e-mail address) notifying the office of this fact.

Persons who were issued an eviction order may not receive a place in the Residence hall for the next five years following the eviction.

How to submit an application?

To apply for a dorm please log in to USOSweb:

COMMON SECTION -> APPLICATIONS -> list of applications -> Application for a dormitory for the academic year 2021/2022

The application should be registered in USOSweb.

No hardcopy of the application is required

No additional documents concerning income should be attached to the application.

Only persons, who select additional conditions mentioned below are required to send (using SGH e-mail address) at bds@sgh.waw.pl a scan of the following documents (1st year students only):

  • Certificate on the degree of disability of the student: if the student has registered his certificate of disability in the Office for People with Disabilities, no documents should be attached; if the statement on disability was not registered with Office for People with Disabilities, such a document should be submitted together with the dormitory application (only statements issued by Polish authority will be taken into account).
  • Orphans or semi-orphans: the death certificate of the parent or parents must be attached (in the case the documents were issued in a language different than Polish the student must also submit a sworn translation of the document into Polish.

Places in residence halls are allocated according to the order set out in the Student Benefits Rules.

The reserve list

To apply for a place in SGH Student Hall, fill in the form Lista rezerwowa na rok akademicki 2020/21 and click “Submit”.

The allotment of beds is conducted on “first came, first served” basis, but a priority is granted to SGH students and PhD students.

The bed allotment depends on the availability of places in male or female rooms.

Allocation of places based on the waiting list:

  1. In order to receive a place in one of the SGH student residence halls, please fill out the form and click “Submit”
  2. Places for students whose names have been placed on the waiting list are allocated on a first come, first served basis, with priority given to SGH undergraduate, graduate and doctoral students.
  3. Students from the waiting list can get a place if there is a vacancy in a men’s or women’s room in the residence halls.
  4. A student from the waiting list who has been allocated a place may check in the residence hall within 48 hours of getting the relevant notification from administration of the residence halls by telephone or e-mail. 

Information on processing of personal data

  1. GDPR (processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract).

  2. Data Protection Officer
    You may contact the Data Protection Officer designated by SGH via e-mail iod@sgh.waw.pl.

  3. Purposes and legal basis of processing of personal data
    Your personal data will be processed for the purposes of organisation of places in the Residence Hall in the winter semester of the 2020/2021 academic year. The legal basis for processing of personal data is point (b) of Art. 6 (1) GDPR (processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract).

  4. Obligation to provide personal data
    Providing personal data is voluntary.

  5. The period for which the personal data will be processed
    Personal data provided in the form will be processed for the period necessary to ensure operation of the Residence Hall in the winter semester of the 2020/21 academic year.

  6. Recipients of personal data
    As a rule, your personal data will not be disclosed to other entities, except entities authorized by law. In the case the controller uses the services of other entities, the personal data may be disclosed to them based on data processing agreement, and such entities will remain under obligation of confidentiality regarding the processed data.

  7. The rights of data subject
    You have the right to access and rectify your data, and to restrict processing thereof, as well as to remove your data in the cases specified by law. Your data will not undergo profiling and no automated decision-making will be conducted based on these data.

  8. The right to lodge a complaint
    You have the right to lodge a complaint with a supervisory authority if you consider that the processing of your personal data infringes upon GDPR.

How to get a place in the student’s house?

Rooms are allocated by the Student Housing Committee, i.e. by the students themselves. Students who want to live in a specific room must write an e-mail to the Committee after receiving a positive decision about place allocation.

In the event that several people wish to live in a specific room, the Committee will allocate a place to one student, based on the following considerations:

  • the cumulative average grade from the entire course of study,
  • the number of years spent in student residence halls,
  • social activity for the benefit of student residence halls.

Students who want to live in a double room with a roommate of their choice must also notify the Committee, and the Committee will take this fact into account when allocating places.

Check-in

To check in successfully, please prepare: 

  • identification document, for instance ID card or passport,
  • student ID card or PhD student ID card,
  • current ID card photo.

Upon check-in, students receive a set of bed linen, a room key and an individual resident card.

In accordance with the Rules, students must check in within a period of 14 days which begins seven days before the start of the academic year, i.e. usually between 23 September and 8 October. Students who fail to check in on time will lose their allocated place. Students who cannot check in within the specified period should notify the residence halls by sending an email to the Student Housing Office. 

During the check-in period, administration staff work Monday to Friday from 8:00 a.m. to 3:00 p.m.

Table of fees

The fee for a place in student residence halls depends on the room size. A place in a single room costs PLN 750 per month. A place in a double room costs PLN 600 per month.

Within seven days of signing the contract, students must also pay a deposit of PLN 700. Deposits and other fees are paid to the individual bank account number provided in the USOSweb online system. The deposit is refunded at the end of the accommodation period.

The role of the Student Housing Board is to allocate beds in SGH Student Residence Halls.
